Platoonix respects your privacy. This policy explains how we collect, use and protect your personal data under UK law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Cookies

We use essential and basic analytics cookies to keep the platform working securely and to improve your experience. You can accept cookies using the banner shown in the app. You can also control cookies in your browser settings at any time.

1. Who we are

Platoonix is the data controller for the personal data we process in connection with the platform. Contact details are provided in the app or on our website.

2. What we collect

We may collect and process:

  • Account and identity: name, email address, phone number, company name, role (admin, haulier, loader)
  • Operational data: vehicle registrations, base postcodes, routes, load and match information (e.g. pickup/delivery postcodes, shipper names) that you or other users enter or that the platform generates
  • Usage and technical: IP address, browser type, log-in and usage data where necessary for security, fraud prevention or legal compliance

3. How long we keep your data

We retain your account data for as long as your account is active. After account closure, we retain data for up to 7 years for legal, accounting, and regulatory purposes. You may request earlier deletion subject to our legal obligations. Contact us to exercise this right.

4. Location data (drivers only)

We collect real-time location data from drivers during active jobs only. This data is used to:

  • Show delivery progress to loaders and hauliers
  • Provide estimated arrival times
  • Verify delivery completion
  • Improve service quality

Location tracking is only active during jobs. Drivers can disable tracking when not working. We do not sell or share location data with third parties. Location data is retained for 90 days after job completion for dispute resolution purposes.

5. Legal basis and purposes

We process your data:

  • To perform our contract with you: to run the platform, create your account, show matches and support hauliers and loaders in connecting with each other
  • Where we have a legitimate interest: to improve the service, ensure security, and handle disputes or legal claims
  • Where required by law: e.g. tax, regulatory or law-enforcement obligations

6. Third-party sharing

We share personal data with trusted providers only where needed to operate the platform:

  • Stripe (payments)
  • Railway (hosting/infrastructure)
  • Google Maps (geocoding and mapping services)
  • Postcodes.io (address/postcode lookup)

These providers act as data processors and have their own privacy policies and data handling terms.

7. Your data protection rights

Under UK GDPR, you have the right to: (a) access your personal data, (b) correct inaccurate data, (c) request deletion of your data, (d) object to processing, (e) data portability, (f) withdraw consent. To exercise these rights, contact us at [email to be added]. We will respond within 30 days.

You also have the right to complain to the Information Commissioner’s Office (ICO) in the UK: ico.org.uk.

8. Security

We use appropriate technical and organisational measures to protect your data against unauthorised access, loss or misuse. No system is completely secure; we will notify you and the ICO of a personal data breach where we are required to do so by law.

9. International transfers

Your data may be processed by our service providers in the UK or in countries that the UK has deemed to provide an adequate level of protection, or under appropriate safeguards (e.g. UK-approved standard contractual clauses). Details can be provided on request.

We may update this policy from time to time. The “Last updated” date at the top will change. Continued use of the platform after changes means you accept the updated policy.
